AI training in the workplace: the toolkit to train your teams and keep track of their progress
Since July 27, 2026, Article 4 of the European AI regulation stipulates that companies that use AI tools «take measures to promote the development of AI mastery among their personnel.» This toolkit follows the five steps of our article on AI training: a Word file for identifying, distributing, and training, and an Excel spreadsheet for keeping track.
What the kit contains
1. Identify the actual uses : an anonymous 5-question questionnaire, ready to be sent, with the sending message.
2. Divide into three profiles : a table to fill out: all users, regular users by profession, a reference.
3. Form each profile : the framework of the one-hour session for everyone, and an atelier framework to adapt to each profession.
4. Keep track : the Excel monitoring sheet in 5 tabs (tools, people, actions, traces, updates), and a margin sheet.
5. Review every six months : The questions to be addressed with each new tool and each revision. Six months is a recommended pace: the text does not set a deadline.
The kit goes hand in hand with ours model of IA charter, As a free download: the one-hour session for everyone can be the presentation of the charter itself.

For whom
The manager, the human resources or the IA manager of a SME whose teams are already using AI tools. Are you concerned? Your company uses AI tools in its work: it is a «deployer» in the sense of the regulation, and Article 4 applies to it.
A model to adapt to your company. It does not replace legal advice.
Frequently asked questions
Is the kit sufficient to comply with Article 4?
Article 4 calls for measures to promote the control of AI, without specifying which ones and without imposing a level per person. The toolkit helps you take them into account, based on your actual usage patterns, and keep track of what has been done. It is a model that can be adapted: it does not replace legal advice.
Is certification training required?
No. The European Commission indicates that none are required under Article 4. A certification training can serve the IA reference, but it is not required for users.
Why an anonymous questionnaire?
To know what your teams are really doing with AI, including with personal accounts. Without names, everyone can say it without fear: this is the state of affairs that the charter and training need.
How much time should I plan for?
The text does not set any duration. The kit follows the guidelines of our article: one hour for all users, a two- to three-hour workshop per team that uses AI every week, one day for the reference person, and then a short update every six months.
