Optima Machine Design: the software for drafting machine design documents.

Your project documents. Your specifications.

You submit the documents for your project. Optima Machine Design takes what it can from them and offers you a summary, then writes your specifications, your functional analysis, your general specification or your definition file, in Word, together with you, section by section.

30 minutes via video, free of charge, no commitment required.

Optima Machine Design in brief

Optima Machine Design is a software product from Optima AI. It drafts a machine design document with your engineering office based on the documents from your project. It does not design the machine: the design remains your responsibility, as do the review and validation processes.

  • What it is : a software for drafting machine design documents, published by Optima AI.
  • For whom Design bureaus of manufacturers and integrators, project managers for special machinery, designers.
  • What you deposit : the documents of your project (invoices, quotes, supplier documents, plans in PDF or image format, images), in files, in folders or in a ZIP archive.
  • What you get As an option, a general specification, a functional analysis, a specification sheet or a definition dossier, drafted section by section according to the summary you have validated, in a Word file identical to the one on screen.
  • Statute Pilot version, with support.
  • Test No. We show you this during a 30-minute exchange.
  • What he does not do He does not understand the machine and does not verify the requirements of Regulation (EU) 2023/1230. The document produced is a first draft, which your engineering office will read over.
  • Price On request. The 30-minute exchange is free.
  • Your documents Stored in France, in your space, compartmentalized; never accessible to another client, never used to train an AI model.
  • Is part of Optima Compliance, axis 01 Design and risks.

Writing the specifications for a special machine: where to start when everything is scattered?

At the beginning of the project, your engineering office must document the need and design of the machine. This document is long to structure, while the information often already exists: in the exchanges with the client, in the quotes, in the documents from the suppliers. What is missing is the time to gather and organize it.

Starting from the previous project

You take the specifications of the last machine and adapt it. The structure is there. The risk is what remains of the old machine and what is missing from the new one.

From a blank page

You build the plan, then you go through every piece of information in your emails and attachments. The document is correct, but it arrives late.

With Optima Machine Design

He starts from the project documents you submit, pre-fills what he can infer from them, and offers you a summary. You correct it, you approve it, he writes it section by section. It does not replace your design team: it gives it a structured first draft, built from its own sources.

Regulation (EU) 2023/1230: what does this change mean for a machine that is currently being designed?

Regulation (EU) 2023/1230 applies to machines placed on the market in the Union from 20 January 2027 onwards, new or used imported from a third country. It replaces Directive 2006/42/EC at that date. The regime is determined at the time of placing on the market, not at design: a machine that you design today and deliver after that date falls under the regulation.

The essential health and safety requirements are set out in Annex III to the regulation (Annex I of the directive until 19 January 2027). The regulation does not require the retrofitting of machines already in service. However, anyone who substantially modifies a machine becomes the manufacturer thereof (Article 18).

Optima Machine Design does not verify these requirements: it writes your design documents. Their consideration remains the work of your design office.

To go further:

How does Optima Machine Design write a machine design document?

Optima Machine Design reads your project documents, extracts what it can, and writes it with you in the order of a summary that you have validated. You read through each section; a paragraph revision is displayed under the original before you accept it.

1

You choose the document.

General specification, functional analysis, specifications sheet or definition dossier. The type chosen gives the document its name; the specifications sheet has its own sections.

2

You submit the project documents.

Exchange of information, quotes, supplier documents, plans in PDF or image format, images: in files, in folders or in a ZIP archive. He pre-fills what he can infer from this, and you correct him.

3

It offers a summary.

You accept it as is or you modify it.

4

He writes section by section.

Each paragraph can be expanded, condensed, reformulated or shortened. The proposal appears alongside the original text: you can accept it or reject it.

5

You place your visuals.

Your images are placed within the document, including on the cover page. With your consent, a web search can complement the information.

6

You retrieve the document in Word.

A file identical to the one you see on screen, which your engineering firm reads, completes and validates.

What Optima Machine Design produces

A structured design document according to the summary you validated, written from your own documents, in a Word file identical to the screen. This is a first draft: it is read by someone who is familiar with the machine before serving it.

We show you this on a document close to yours.

For whom: design bureaus, heads of special machinery projects, designers

Optima Machine Design is aimed at those who design the machine and have the project documents at hand. The more documents you have, the more material it has to pre-fill.

You design special machines

At a manufacturer’s design office, the project begins and the specifications need to be written down. What the client has asked for is included in your discussions; what you have quoted is included in your estimates: you start from there.

You integrate machines

You assemble equipment from several suppliers. Their documents describe each component; your specification describes the entire system.

You are evolving an existing machine

As a designer, you need to formalize the functional analysis of a machine that you are going to modify. You start from the documents that already describe it.

What Optima Machine Design does not do

Optima Machine Design drafts a first draft. It does not decide anything on your behalf. The design document remains that of your engineering firm.

  • He does not understand the machine: designing special machines remains your job.
  • He does not bring any business expertise: he writes based on your documents, and the content is reviewed by someone who knows the machine.
  • It does not verify the essential requirements of Regulation (EU) 2023/1230.
  • It does not assess the risk: that will be the role of Optima Machine Risk, which is in development.
  • He only knows of the project what you give him, and what a web search, if you allow it, can add to it.

We are offering it today as a pilot project, with our support: you are not alone in the face of the tool.

What happens to your documents?

In Optima Machine Design, your documents remain in your own, separate space. They are stored in France, never accessible to another client, and are not used to train an AI model.

Web research is only conducted with your consent.

How much does Optima Machine Design cost?

Optima Machine Design is on the drawing board. We start with a 30-minute exchange, then we show you the software on a document similar to yours. The quote comes next, before any decision is made.

The exchange is free of charge.

Frequently asked questions about the drafting of machine design documents

No. Optima Machine Design is a software for engineering offices that design machines: it writes the design documents with them, based on the documents of their project. The design of the machine, its technical choices and its validation remain the responsibility of the engineering office. Optima AI does not design machines for its customers.

Four, to choose from: a general specification, a functional analysis, a specification sheet or a definition dossier. The chosen type gives the document its name, and the specification sheet has its own sections. For each, it offers a summary that you validate or modify before drafting.

Yes. You choose the «requirements» type and submit the project documents: discussions with the client, quotes, supplier documents. He pre-fills what he can infer from them, you correct him, and then he writes section by section. You receive a Word file that your design office reads and validates.

The documents for your project: exchanges, quotes, supplier documents, plans in PDF or image format, images. They are submitted as files, folders, or ZIP archives. Common formats (Word, Excel, images): we verify yours during the exchange.

No. This is a structured first draft, written based on your documents. Optima Machine Design does not provide any business expertise: your engineering office reads the document, completes it and validates it before using it.

No. He or she drafts your design documents; he or she does not verify that the machine meets essential health and safety requirements. It is still your design office’s job to take these into account; the role of Optima Machine Risk in development is to assess the risk.

No. It only starts with your consent to complete the information in your documents. What it adds is read as the rest of the document; it does not result in every request.
