Optima Doc Creation®: the solution for writing machine instructions.

The manual for your machine, without starting from a blank page.

You submit the machine’s functional analysis and risk analysis. Optima Doc Creation drafts the first draft of its report, in 14 structured sections according to EN ISO 20607, and points out what is missing.

30 minutes via video, free of charge, no commitment required.

Fictitious example, to illustrate the full application: anything your documents don't say is highlighted, you fill in the missing information, and then you export the information into Word.

Optima Doc Creation in brief

Writing the manuals for all your machines: in-house, by a third-party provider, or with a software?

Each delivered machine comes with its manual. Whether it is written in-house, by a contractor, or with a software program, it leaves with the same documents: the functional analysis and the risk analysis that your engineering firm has already written. What changes is who transforms these documents into a manual, and how we see what they don’t say.

Internally

Your engineers know the machine better than anyone else. The instruction manual comes to them at the end of the project, and it often follows the same format as the previous machine.

By a provider

A technical writer brings his or her method and an outside perspective. He or she works based on the documents and responses you provide to him or her.

With Optima Doc Creation

It starts from your two analyses and organizes their content into the 14 sections of EN ISO 20607. What it does not say, it does not fill in: it marks it as «Not found.» It does not replace your design office or a writer. It gives them a structured first draft, where the gaps are visible before the final review.

Directive 2006/42/CE or Regulation (EU) 2023/1230: what framework for your notices?

The instructions are covered by point 1.7.4 of the essential health and safety requirements. This point appears in Annex I to Directive 2006/42/EC until 19 January 2027, then in Annex III to Regulation (EU) 2023/1230, applicable from 20 January 2027. The regulation applies to machines placed on the market in the Union from that date, whether new or used imported from a third country. Anyone who substantially modifies a machine becomes the manufacturer of that machine (Article 18).

It opens up a new possibility: the digital manual, under certain conditions (Article 10, paragraph 7). The manufacturer indicates on the machine how to access it. The manual must be printable, downloadable, and remain online for the entire intended lifespan of the machine, and for at least ten years. The user can request the paper version free of charge at the time of purchase. For a machine intended for non-professional users, or that can reasonably be considered such, the essential safety information remains provided on paper.

How does Optima Doc Creation write your brochure?

Optima Doc Creation reads your documents, extracts what the instructions need to say and formats them in the structure of EN ISO 20607. It does not fill in the gaps: it points them out. You are in control at every step.

1

You deposit the documents in the machine.

Functional analysis and risk analysis, plus the maintenance file if you have it.

2

It sorts your documents.

Each file is organized: functional analysis, risk analysis, maintenance. The proposed classification is corrected if necessary.

3

He writes the 14 sections.

The manual follows a structure in 14 sections, according to EN ISO 20607.

4

He points out what is lacking.

Information that is not included in your documents is not considered. It is marked «Not found» and you complete it in the editor.

5

You take back what should be taken back.

A section doesn't suit you? You regenerate it. You place your images and annotate them: arrows, borders, text.

6

You retrieve the instruction manual in Word format.

A editable file, which your design office reads, corrects and signs.

What Optima Doc Creation produces

A first draft of the manual, in 14 sections structured according to EN ISO 20607, in a Word file that you can modify freely. What your documents don’t say is highlighted, section by section. You know what remains to be written before you read it again.

We show you this on a document close to yours.

For whom: design firms, technical documentation, integrators

Optima Doc Creation is aimed at those who have the notes to produce and the analyses in hand. It requires a formalized functional analysis and a risk analysis. Without them, it has nothing to write about.

You design the machines

In the engineering office of a manufacturer, you wrote the functional analysis and the risk analysis. The final report is handed to you at the end of the project: you start from what you have already written.

You write the technical documentation

As the person responsible for documentation, you start with a structured first draft, with the reported shortcomings, rather than starting from a blank page or the previous machine’s manual.

You integrate machines

When several machines are arranged and controlled to work as a whole, the person who assembles them becomes the manufacturer. The entire assembly manual belongs to them.

What Optima Doc Creation does not do

Optima Doc Creation writes the first draft. It does not decide anything on your behalf. The notice remains under your signature: the manufacturer is responsible for it.

  • He does not certify the instruction manual: it is your review that will judge it.
  • It does not replace your risk analysis: it starts from what it contains.
  • The machine only recognizes your documents: anything that is not included is marked «Not found».
  • It does not provide the text of EN ISO 20607: the standard can be obtained from AFNOR.
  • He does not write the technical dossier: that is the role of’Optima Doc Compilation, in development.

We are offering it today as a pilot project, with our support: you are not alone in the face of the tool.

Try it on your documents

Submit the documents for your machine, without registration. The trial draft consists of six parts: identification, description, safety, installation, use, and maintenance. The full application, on the other hand, consists of 14 sections.

What happens to your documents?

In Optima Doc Creation, your documents are stored in France. They are never accessible to another client. They are not used to train an AI model.

For the test, the tool indicates: «No account to create. Your documents are only used for this writing.»

How much does Optima Doc Creation cost?

Optima Doc Creation is on-hand. We start with a 30-minute exchange, then we show you the software on a document similar to yours. The quote comes next, before any decision is made.

The exchange and trial are free of charge.

Frequently asked questions about the drafting of instructions for use

Neither is mandatory. The text requires that the manufacturer provide the instructions, regardless of how they are written. A provider writes them based on what you provide; Optima Doc Creation writes the first draft based on your functional analysis and risk analysis, and notes what they do not say. In both cases, the manufacturer is responsible for responding to them.

The trial edition, without registration, produces a first draft in six parts based on the documents in your machine. Optima Doc Creation produces the instruction manual in 14 structured sections according to EN ISO 20607. You can then correct the classification of your documents, complete what is marked as «Not found,» regenerate a section, place and annotate your images, and then retrieve a modifiable Word file.

Your functional analysis and risk analysis, and a maintenance file if you have one. Common formats (PDF, Word, Excel): we verify yours during the exchange.

No. It’s a first draft. Your design office revises it, corrects it, and completes what is marked «Not found.» It is at this revision that the design brief is judged, and the manufacturer bears responsibility for it.

The manual accompanies the machine: it is intended for those who install, use, and maintain it. The technical documentation remains with the manufacturer: it compiles the elements that demonstrate the machine’s compliance, including the manual, and presents it to the authorities that request it. Optima Doc Creation writes the manual; assembling the technical documentation is the role of’Optima Doc Compilation, in development.

In French. Other languages are possible: we will check them with you during the exchange.

In the same direction: the documentation

Optima Doc Creation is part of the Documentation axis of Optima Compliance. Two other agents are working on the machine’s manual and file.
