Why does a machine's documentation always arrive at the worst possible time?
The machine leaves on Friday,
and the notice is only a file of plans and supplier sheets.
The instruction manual is identical to that of the previous machine,
without knowing what we forgot to change there.
The piece changed in the course of development.
The notice, however, has not moved.
The security instruction of the post,
placed in the middle of a notice that the operator will never open.
No one ignores it.
She always comes after the machine.
What is Optima Compliance doing today?
Ten agents, in four different roles, from machine design to the workstation. Five are proposed as pilot versions, with support; the other five are in development. What an agent is preparing, you read it and you approve it.
Axis 01
Design and risks
Before the machine exists: its design and the assessment of its risks.
Helping with the design
Optima Machine Design
He or she will draft a design document with you: specification, functional analysis, specifications sheet or definition dossier.
Pilot version, with support
There is no trial version for this agent.
Appreciating the risks
Optima Machine Risk
It concerns the assessment of risk, with EN ISO 12100 as the framework.
In development
Axis 02
Documentation
The instruction manual and the technical dossier.
Control an existing note
Optima Doc Auditor
He reads an existing notice and notices the discrepancies.
In the trial tool, each discrepancy comes with the passage of the relevant notice and a proposed correction. There is no «compliant» verdict: you decide on the corrections.
Pilot version, with support
Fictitious example, based on an invented note: the report produced by the experiment.
Writing the instruction manual
Optima Doc Creation
He/She writes the first draft of the notice, in 14 structured sections according to EN ISO 20607, based on your functional analysis and your risk analysis.
Assemble the technical dossier
It concerns the assembly of the technical dossier, based on the supplier documents.
In development
Axis 03
Life of the machine
When the machine changes, or when it needs to be checked where it is.
Keep the manual updated when the machine changes
He reads the original notice and the description of the modification, gives an indicative opinion on its substantiality, which you validate, then rewrites only the relevant chapters: revised notice in Word, with the revisions visible, and journal of the modifications.
There is no trial version for this agent.
Checking compliance
Optima Machine Verifier
It concerns the verification of the conformity of a machine.
In development
Axis 04
Post and expertise
For those who keep the machine running, and to ensure that their expertise remains in the workshop.

What remains under your signature?
Optima Compliance prepares and controls documents; it does not declare anything on your behalf. The EU declaration of conformity, its signature and the associated responsibility remain those of the manufacturer.
- It does not declare the conformity of your machine and does not sign the EU declaration of conformity.
- It does not issue any certificate: the verification of a notice is a matter of discretion; it does not say «compliant».
- It does not replace the intervention of a notified body when the procedure requires it.
- It does not reproduce the text of the standards: it follows formalized working methods based on regulatory and normative principles, and cites the standards as a framework.
- He does not validate anything on his own: what he prepares, you read it, complete it and validate it.
Does Regulation (EU) 2023/1230 change anything for your machines?
Regulation (EU) 2023/1230 applies from 20 January 2027, the date on which it replaces Directive 2006/42/EC. It applies to machinery placed on the market of the Union for the first time, whether new or imported from a third country; it does not provide for a general compliance review of machinery already in service. For a manufacturer, the challenge is to anticipate their requirements for machinery under design. The person who makes a substantial modification to a machine, within the meaning of the regulation, is considered its manufacturer.
